What is iMailTracking™?

iMailTracking™ offers a secure and comprehensive mail solution. Clients submit electronic mail orders and iMailTracking™ prints, folds, inserts, applies certified forms and postage, then delivers the completed mail pieces to the USPS. Mail is usually produced and posted the same day the order is received. Our Online Tracking Site lets you track Certified Mail deliveries, order summaries, view affidavits of mailing, run billing and mail volume reports monitor returned mail.

Clients have two options for submitting orders through iMailTracking™:

  1. Web Application – a ready to use online application. No integration required
  2. Web Services – integrates directly into a client’s Case Management Software (CMS) for seamless data transfer.

How does iMailTracking™ work?

Step 1. Select your recipient list

Step 2. Attach required document(s) to be mailed

Step 3. Determine the mailing type(s) to be used (First Class, Certified, Certified Return Receipt, Certified Electronic Return Receipt, Certified Return Receipt Restricted Delivery, Registered, and Registered International Mail)

Step 4. Select the date you want your order mailed and click ‘Send’.

iMailTracking™ prints, assembles, and delivers your documents to the USPS according to your specifications. At any time you can check the status of your mailing via our Online Tracking Site. If you require proof of mailing, we can provide you with a round-dated USPS Report PS-3877 or an Affidavit of Mailing.

How secure is my information?

We utilize advanced encryption for data transfer and manage client data with the utmost confidentiality and integrity. Access to information, whether internally or from external clients, is keycard and password protected, to ensure full compliance with security protocols.

Is any of your process outsourced to a Third Party?

iMailTracking™ does not outsource any part of the mail function to a third party. All mail processing is done from our secure mail facility. We are dedicated to responding to customers with the urgency your mail demands, while consistently providing reliable and secure processing.

What kind of mailing can I send?

iMailTracking™ processes First Class, Certified, Certified Return Receipt, Certified Electronic Return Receipt, Certified Return Receipt Restricted Delivery, Registered, and Registered International Mail; and can accommodate mailings ranging from 1 page up through 100+ pages.

What will my mailing look like?

iMailTracking™ adds the recipient and return addresses directly to the cover page for every mail piece. The recipient and return addresses are displayed prominently in a double-windowed envelope. We use USPS approved certified envelopes for your certified mailings. Depending on where you want your returned mail sent, the return address in the upper left hand corner can be your address or ours, if you want us to manage your returns.

What is the turnaround time for my mail job?

It takes seconds for a mail job to be created by a client and received by iMail LLC. Once received by iMail LLC., the mail job is released into production to be printed, folded, inserted and metered. Within minutes a mail job is transformed from an electronic file within the clients system to a physical piece of mail and ready for USPS pick up. Information associated with your mail job (including status updates, certified numbers, fees and costs, etc.) is available online in ‘Real Time’ as the order moves through production.

Can I track my orders?

We provide customers with real-time information through our Online Tracking Site which allows you to track Certified Mail deliveries, view job summaries, check for status updates as they happen, view digitized affidavits and sent documents, run billing and mail volume reports, and request and monitor returned mail.

Do you provide reports for mail jobs?

For every mail job we generate an affidavit of mailing which is available to view, download and print, the day after the date mailed. If your business requirements demand a notarized version of the mailing affidavit we will execute the signature, notarize and forward to you.

For every piece of certified and registered mail, iMailTracking™ generates a PS Form 3877 which is received and round-dated by the USPS for mail confirmation.

Do you account for every piece of mail?

Our solution applies a 2D barcode to every page of your mailing during the printing process. The 2D barcode is continually scanned throughout the mail production process to help ensure that every mail piece is assembled with the highest level of accuracy and integrity. This technology allows for maximum track-ability and accountability so you’re always compliant.

Can I cancel a mail job?

If your mail is still within our facility, we will cancel and pull that mailing at no charge to you, regardless of the time of day.

What return mail services do you provide?

Our clients are able to conveniently access and retrieve return mail pieces and receipts which are imaged and catalogued using our superior software system iMailTracking™. This reliable technology saves the customer time and frustration, allowing them to focus on the primary needs of their business or organization. Our system is linked in with the USPS, which allows clients to check the delivery status of their mailings.

Do you have any quotas or minimums?

No client is too large or too small. We do not require monthly quotas or minimums.

How much does it cost?

We have a Set Rate Schedule based on Per Piece Pricing. There are No Installation or Set-up Fees, No Ancillary/Hidden Charges, No Data Storage or Archiving Fees, No Document Retrieval Fees or Up Charges.
